Job Description

Main Duties and Responsibilities

  • Responsible for all office administrative and general administration required for the region.
  • Assist in co-ordinating travel & logistic arrangements in conjunction with the Business Travel Partner and company’s travel policy.
  • Support responsive customer service to the offshore personnel for all logistics matters.
  • Assist in management and compliance check of offshore employee certification library, monitor expiry dates and arrange course renewals where necessary.
  • Support administration of Project specific Client HSE Personnel approval preparation.
  • Liaise with personnel manning agencies.
  • Assist in project cost tracking related tasks in company’s crew management system, including but not limited to, time tracking for payroll purposes, administration of crew timesheets and expenses and payroll checks in line with payroll deadlines.
  • Support Resources team to lead paperwork and process for necessary visa applications for crew.
  • Employee CV maintenance/updates for internal and external use.
  • Liaise with project management, accounting, procurement and finance departments.
  • Support with the administration and coordination of onboarding new employees i.e., benefits, IT equipment.
  • Tendering support where necessary (document formatting, compilation, etc).
  • Provide other support to global projects where required.
  • Uphold organization’s standards of business integrity.

 

Skills Requirements

  • Must possess excellent verbal and written communications skills.
  • Strong administrative background and experience.
  • Ability to challenge constructively and identify new ways of working.
  • Self-motivated, results-orientated with a positive mature outlook and a clear focus on high quality performance.
  • Flexibility to accommodate the changing needs of the business.

 

Experience, Competency and Qualifications

  • Relevant experience within a personnel logistics or operations focused role.
  • Experience working in the Oil and Gas industry and/or Maritime Industry.
  • Proficient in the use of IT applications, including MS Office Suite and industry standard crew/logistics data base systems.
